GroomDesk is booking and client software for dog groomers, run by App Agentic Ltd, a company registered in England and Wales (“we”). This policy explains what we collect, why, where it is kept and the choices you have. Questions: hello@groomdesk.pet.
Who is responsible for what
- Groomers (our customers): we are responsible for your account details and how you use GroomDesk.
- Your clients and their dogs: the groomer decides what to keep about their clients and is responsible for it. We hold and process that information on the groomer's behalf, only to run GroomDesk for them. If you are a groomer's client, contact your groomer first; we will help them with any request.
What we collect
- Groomer account: name, email, password (stored by Google Firebase Authentication, never by us in readable form), business name, address, phone, time zone, hours, prices and settings.
- Clients: name, email, mobile number, address and access notes (for mobile groomers), notes the groomer adds, and whether they agreed to texts and to marketing texts.
- Dogs: name, breed, weight, coat, behaviour and care notes, allergies, medications, vet details, vaccine expiry dates and uploaded vaccine certificates, and report cards. We do not collect human health information.
- Appointments, messages and payments: bookings, the emails and texts sent and received through GroomDesk, and payments the groomer records.
- Technical data: standard server logs (IP address, browser, time) kept for security and to keep the service running. We use one sign-in cookie for groomers and no advertising or cross-site tracking cookies.
How we use it
- To run the service: online booking, the calendar, vaccine checks, confirmations and reminders, report cards and payments.
- To send messages the groomer asks for or has switched on (for example reminders). Marketing texts, such as rebook nudges, only go to clients who agreed to them. Anyone can reply STOP to stop texts.
- To keep GroomDesk secure, fix problems and support you.
- We do not sell personal information, use it for advertising, or use your clients' information to train AI models.
AI assistants
Groomers can connect GroomDesk to an AI assistant such as ChatGPT, Claude or Meta AI. When they do, the assistant can read and change that groomer's GroomDesk information when they ask it to (for example “who's in tomorrow?”). The information GroomDesk returns is then handled by the assistant's provider under its own terms and privacy policy. Each connection only reaches the signed-in groomer's own salon. Messages to clients are always shown to the groomer to approve before they are sent. A groomer can disconnect an assistant at any time from the assistant's settings.
Who we share it with
Only the service providers we need to run GroomDesk, under contracts that limit their use of the data:
- Google Cloud and Firebase (hosting, database, sign-in), United States
- Cloudflare R2 (vaccine certificates and photos, stored privately), European Union
- Resend (sending emails), United States
- Twilio (sending and receiving texts, when the groomer turns texting on), United States
- Stripe (groomers' GroomDesk subscriptions, and deposits paid to a groomer's own Stripe account), United States and Ireland
- The AI assistant a groomer chooses to connect, as described above
We may also disclose information if the law requires it, or to protect people from harm.
How long we keep it
We keep a groomer's information for as long as their account is open. When a groomer closes their account we delete their salon's information within 30 days, apart from records we must keep for tax or legal reasons. Server logs are kept for up to 30 days.
Your choices and rights
You can ask to see, correct, export or delete your information, or object to how we use it, by emailing hello@groomdesk.pet. Depending on where you live (for example the UK, the EU or California) you may have further rights, including to complain to your data protection authority. We do not sell or share personal information for cross-context advertising.
Security
Data is encrypted in transit and at rest. Each groomer can only reach their own salon's information, and uploaded files are private and opened through short-lived links.
Children
GroomDesk is for businesses and is not aimed at children under 16.
Changes
If we make important changes we will update this page and tell groomers by email.
